Team Manager Information

Welcome to Season 2025 and thank you for being part of our Club.

As we move into the new season, we aim to keep everyone well-informed and connected.

Should you have any questions or need assistance, please contact Jodi Wilcox at 0407 858 038. We’re here to support you throughout the season.

Communications

For communication, we suggest setting up a group on platforms like WhatsApp. This channel is effective for both regular updates and urgent information, such as training schedules and game cancellations. It’s also important to have clear expectations about attendance for training and games among coaches, team managers, parents, and players.

Game Day Volunteers

Volunteers are required for every game of footy as follows.

A description of the roles is included in the relevant STJFL Match Day Guide 2025.

Ideally, all families will help out in some way to help spread the load. However, it is ultimately up to the Team Manager and Coach how roles are allocated (eg some coaches will have a consistent Runner for the season).

All roles, with the exception of Timekeeper, require a current WWVP check (available through the Department of Justice).

TIP: Send a message out the week before on your WhatsApp group asking for volunteers.

Pre-game

  1. Login to https://www.playhq.com/ using the login you created when you registered as a Team Manager.
  2. Select the Team you are the Manager for under “My Teams”.
  3. Select the relevant “Round” and game as below, and select the “>” on the RHS to enter the next screen.

4. Select “Manage”

 

5. At the bottom of the screen select “+ Select Team”.

 

6. Using the “+” you can add players that are allocated to your team, you can also add players that are not allocated to your team as follows.

 

7. You then need to add Coaching Staff and Volunteers and SAVE.

8. Then go back to the following screen and select “Download Game Sheet”.

 

9. You need to print 3 copies of the Team Sheet to take to every game.

At the Game

  1. Prior to the state of the game, provide one copy of the Team Sheet to the Umpire and one to the Opposition Team Manager.
  2. Provide the Home Goal Umpire with a Score Card and Pen/pencil.
  3. Use your copy to record Goal Kickers (Youth Age) and the Best Players (as nominated by the Coach) for your Team (this goes in the newspaper). Voting is 1 = best player.
  4. For Juniors record position played (Juniors).
  5. Further information is outlined in “At the Match” in the STJFL Match Day Guide 2025.
  6. Interchange Sheets are to be used for Youth Age games.

 

After the Game

Home Games
  1. Collect Team Sheet from the Opposition Team Manager.
  2. Collect Interchange sheets (Youth Age).
  3. Enter scores in Play HQ.
  4. Enter Goal Kickers and Best Players (from Team Sheet) in Play HQ.
  5. Upload documents to QR Code within 24 hours of match.
Away Games
  1. Provide Team Sheet to Opposition Team Manager.
  2.  Take a photo of everything you hand over.

SBJFC Voting – For our Best and Fairest Award Evening – YOUTH ONLY

  • The Club uses a 5, 4, 3, 2, 1 system (5 for the best player).
  • Two sets of votes are counted.
  • Here is the link to the Voting Policy and a Voting Card. It can either be emailed or printed).
  • The Club also uses Play HQ to record votes for our Best and Fairest awards. This is completely separate from Best Players that the Coach does on the Team Sheet (which goes in The Mercury).
  • When you are in the “Manage” tab as per above, select the three dots and the “Enter Votes” option comes up – select.

  • Select the “Yellow edit icon”.

  • Enter the requested information for BOTH voter 1 and voter 2.

Billy’s Vouchers – keep a list

  • Team Managers Kits include a Billy’s Burger Voucher for each player.
  • These can be used by coaches to reward players, it may be for eth best player one week and the next week it may be for the player who always listened to every instruction provided.
  • Each player is to receive a voucher, this means that some weeks two vouchers may need to be allocated.
  • It is a good idea to record who has received Vouchers on an ongoing basis.
  • The Voucher(s) should be awarded at the end of the game and the Manager should take a photo of the recipient.
  • The Photo and name(s) of the recipient, together with the game (including the date) to which it relates should be emailed to sbjfcplayerofthematch@gmail.com.

Concussion

Unplayable weather

  • Games are rarely cancelled – parents should plan for kids to play in the rain.

Queenborough Game Day Responsibilities and Checklists

Scoreboard, Timing, and Siren (Home Games)

  • SBJFC Team Managers handle the scoreboard, timing, and siren for home games. Set up the laptop, display teams, manage the clock, blow the siren at quarter starts and ends (use a phone timer), and update scores. Please pack up afterwards if you are the last game of the day.

Ground Inspection – Upper Queenborough

  • The Club inspects the ground Sunday mornings and completes the match day checklist.
  • The ground manager ensures safety before each game.
  • Discuss any concerns about suitability with the opposition coach and umpires (youth ages).
Ground Inspection – Lower Queenborough
  • Coaches/team managers ensure the ground is safe before each game; no checklist required.
  • Discuss any concerns about suitability with opposition team officials.
First Aid – Home Games
  • Upper QB: Stretcher and eski with ice between the benches. Ambulance access via Nelson Road near cricket nets (gate unlocked Sundays; if locked, get master key from canteen). ‘No parking’ marked, but cars may still park there.
  • Lower QB: Stretcher in storage area, ice in TM first aid kits. Ambulance access via Lambert Avenue near Sandy Bay Senior Citizens Club carpark.
